About the Opportunity
Our client is a boutique Registered Investment Advisory (RIA) firm serving approximately 85 high-net-worth families with portfolios ranging from $2M to $30M. The principal is a seasoned advisor who leads a lean, high-performing team — and is now ready to hire a sharp, organized Executive Assistant to take the operational weight off his plate so he can focus on what he does best: client relationships and wealth management.
This is a full-time, direct-hire opportunity for a professional who thrives in a fast-paced, relationship-driven environment and wants to be a true right-hand to a senior executive.
The Role
This is a highly personalized Executive Assistant position built around the principal's workflow. Success means proactively managing his calendar, inbox, and task delegation — becoming the operational connective tissue that keeps the team running smoothly and clients well-served.
The role is local to the Denver metro area, with an initial in-office presence and flexibility to move toward a hybrid arrangement as trust is established.
What You'll Own
• Email inbox management — triage, prioritize, and eventually draft/send client-facing responses
• Calendar and meeting coordination — prep, scheduling, and follow-up on action items
• Task delegation to specialized team members and follow-through to ensure closure
• Client communications — professional, polished phone and written interactions that uphold firm standards
• Compliance task management — insurance license renewals, investment logging, regulatory tracking
• Cash distribution workflow support — routing approvals and confirming process adherence
• AI-assisted meeting note capture and action item tracking (tools provided)
• Administrative coordination across Microsoft 365 (Outlook, Teams, Word, Excel)
• Light personal task support within reasonable limits
What We’re Looking For
Must-Haves
• Exceptional organizational skills — you create structure, you don’t need it handed to you
• Strong numerical aptitude and comfort with accuracy-driven, process-oriented work
• Professional communication skills — polished, confident, and appropriately concise with clients
• Experience in a professional services or client-facing environment
• Ability to make confident, independent decisions on routine issues — you escalate only when truly necessary
• Patience and resilience — the principal has a fast-paced style and needs someone who can stay grounded
• Microsoft 365 proficiency (Outlook, Word, Excel, Teams)
Nice to Have
• Background in financial services, wealth management, or as a client service assistant at an advisory firm
• QuickBooks or financial system experience
• Familiarity with AI note-taking and productivity tools
What You Don’t Need
• A finance degree, CFA, Series licenses, or other regulatory certifications — not required
• Deep technical knowledge of wealth management — the team covers subject matter expertise
The Team
You’ll work alongside a small, specialized support team that includes a client administrator, financial planning and insurance specialist, and a remote analyst. The team is high-performing and low-maintenance. Your job is coordination and closure, not subject matter expertise.
Compensation & Structure
• Base salary: $80,000 – $120,000 depending on experience
• Full-time, direct-hire placement
• Schedule: Monday – Friday, 8AM–5PM
• Denver metro location required; initial in-office with hybrid flexibility over time
• High performers are recognized — there is potential for financial participation incentives for the right long-term hire
